Fee Schedule: Understanding TaxCloud Fees

This article outlines the types of fees that may apply when using TaxCloud. It covers subscription billing practices, additional service charges, and usage-based fees, so you can better understand what to expect and avoid any surprises.


Subscription Fees

Your subscription fees are outlined in your signed Order and reflect the services and filing limits included in your plan. These fees are:

  • Billed in advance and due when your Order is accepted, unless stated otherwise.
  • Non-refundable, even if you cancel early or use the service less than expected.
  • Automatically charged to the primary payment method on file. Backup payment methods will be used if the primary method fails.

TaxCloud may adjust pricing at the start of a renewal term with notice via email or published updates to our website.


Other Fees & Penalties You May Incur

Certain fees may apply in addition to your subscription, depending on your account activity and payment behavior:

Fee

Description

Returned Fee for Tax Remittance $100 — Applies when a tax remittance payment fails (e.g., due to insufficient funds, bad bank mandate, etc).
Returned Fee for Service $50 — Applies when a payment for TaxCloud’s services fails.
Credit Card Fee for Tax Remittance 7% — Applies when tax funds are paid to TaxCloud using a credit card. This only applies if a credit card is the sole payment method on file, or are unable to collect via bank ach.
Late Payment Fee 1.5% per month (or the legal maximum) on overdue amounts, starting from the due date.
Amended Filings Minimum $45 per amendment — Fees apply when an amendment is requested due to merchant error or state-requested corrections. Final cost depends on volume and complexity.
Collections and Legal Fees TaxCloud may recover reasonable costs associated with collecting overdue payments, including attorney fees.
Audit-Related Fees Costs incurred during audits (by TaxCloud or third parties) related to your filings or account setup are your responsibility.
State-Imposed Penalties and Interest Any state-assessed fees, penalties, or interest are the merchant’s responsibility.

Depending on how you use TaxCloud, the following additional charges may apply:

Filing and Order Overage Fees

Each subscription plan includes a set number of monthly filings and a transaction volume allowance. If you exceed these limits, overage fees will apply:

Note: Orders containing an exemption certificate are counted as two orders due to the additional processing involved.

Sales Tax Registration Services

TaxCloud offers optional registration services to help you obtain sales tax licenses in various states.

  • The standard cost is $249 per registration.
  • However, in some states, TaxCloud can register you for free if the state is part of the Streamlined Sales Tax (SST) program.

Exemption Certificate Management

If you use TaxCloud to apply exemption certificates for tax exempt customers, orders containing an exemption certificate are counted as two orders due to the additional processing involved

Disputing a Fee

If you believe a fee has been charged in error, please contact us within 30 days of the charge. To ensure a prompt review:

  • Provide the date, amount, and reason for the dispute.
  • Disputes submitted after 30 days may not be eligible for review.

Once resolved, any outstanding amounts must be paid within 20 days.


Payment Requirements

To avoid service disruption or late fees, please ensure:

  • Your payment information is valid and up to date.
  • You’re authorized to use the payment method provided.
  • You have a valid backup payment method on file if needed.

TaxCloud may charge your stored payment method for any applicable fees—before or after cancellation of services—without additional notice.
