QuickBooks Desktop
The TaxCloud QuickBooks Plugin runs on your Windows PC alongside QuickBooks Desktop and adds sales tax to your invoices, sales receipts, and credit memos as you save them. Tax is calculated by TaxCloud in real time and posted to a Sales Tax Payable account on your balance sheet, so you stay in QuickBooks the whole time.
What you'll need
- QuickBooks Desktop 2024 (Pro Plus, Premier Plus, or Enterprise) on Windows. QuickBooks Desktop for Mac is not supported, and QuickBooks Online uses a different TaxCloud integration.
- A TaxCloud account on a plan that includes the QuickBooks Desktop integration.
- A Windows PC that meets the plugin's install requirements (see Install the TaxCloud QuickBooks Plugin).
You set up one TaxCloud connection per business (one per EIN and its QuickBooks company file), then install the plugin on each PC that creates invoices.
Getting started
Work through these in order:
- Set up your TaxCloud account — add a QuickBooks Desktop connection and get the Connection ID and API key the plugin needs. Once per business.
- Install the TaxCloud QuickBooks Plugin — install on each PC that creates invoices, enter your credentials, and grant it access to your company file.
- Calculating and capturing tax — run a test invoice and see how tax is added on every save.
Before you go live
Set these up before you start invoicing in production, so tax is correct from your first real sale:
- Assign product tax codes (TICs) — if you sell clothing, food, shipping, digital goods, or anything taxed differently from general merchandise.
- Mark a customer tax-exempt — for resellers, nonprofits, and other exempt buyers.
- Settings reference — tune sync timing, capture basis, and logging.
