# Understanding WooCommerce Integration Modes

The TaxCloud/WooCommerce integration offers two distinct modes for managing sales tax. Most merchants should use **Real-Time mode** for automated tax calculations and comprehensive compliance features. Data Import mode is available for merchants with very specific, limited needs.

# Real-Time Mode (Recommended)

The Real-Time mode provides a complete, automated sales tax solution that handles calculations, compliance, and filing in one integrated system. To use this mode, you need a premium TaxCloud account (or an eligible free trial), which also corresponds to the “Real Time” status in the WooCommerce plugin. 

## What Real-Time Mode Does

* **Automatic Tax Calculations**: Calculates sales tax in real-time during checkout based on product type, destination, and current tax rates.
* **Order Capture**: Automatically captures completed orders for reporting and filing.
* **Nexus Tracking**: Monitors where you have tax obligations and updates calculations accordingly.
* **Product Taxability Rules**: Applies complex tax rules automatically (clothing exemptions, food taxes, digital goods, etc.).
* **Rate Updates**: Always uses current tax rates without manual maintenance.
* **Sales Tax Exemptions**: Supports customer-level sales tax exemptions, including collecting and managing exemption certificates.

## Who Should Use Real-Time Mode

Real-Time mode is the right choice if you:

* Sell in multiple states or jurisdictions
* Have a diverse product catalog with different tax treatments
* Want automated nexus tracking
* Sell to tax-exempt customers
* Need accurate tax calculations without manual rate maintenance
* Prefer a complete end-to-end tax solution

## Technical Details

* Available on the Premium TaxCloud plan
* Corresponds to "Real Time" status in the WooCommerce plugin
* TaxCloud calculates tax in real-time, so that the tax collected at time of sale is accurate and automatic
* Transactions are captured in TaxCloud when orders are created in WooCommerce

# Data Import Mode

Data Import mode captures order data for TaxCloud's reporting and filing services **without performing real-time tax calculations**. This mode requires you to handle tax calculations separately.

## What Data Import Mode Does

* **Order Capture Only**: Imports completed orders into TaxCloud for reporting and filing purposes.
* **No Real-Time Calculations**: Does not calculate tax during checkout.
* **Limited Nexus Tracking**: TaxCloud performs nexus tracking which doesn’t flow back to impact the sales collected in WooCommerce because TaxCloud is not responsible for your sales tax calculation.

## What Data Import Mode Does NOT Do

* Does not calculate sales tax at checkout.
* Does not automatically apply product taxability rules.
* Does not update tax rates automatically.
* Does not do customer exemptions

## Who Should Use Data Import Mode

Data Import mode may be appropriate **only** if you meet **all** of these conditions:

* You sell in very few jurisdictions (typically 1-3 states).
* You're comfortable manually maintaining tax rate tables.
* You have a small, simple product catalog with straightforward tax rules.
* You don't need nexus tracking.
* You're already using another tax calculation solution and only need TaxCloud for filing.

## How Tax Calculations Work in Data Import Mode

Data Import mode works independently from TaxCloud's tax calculation. As a result, before using the mode, you must **must** configure sales tax rates in WooCommerce.


1. **During Checkout**: WooCommerce calculates sales tax using either:
   * Your [manually configured tax tables](https://woocommerce.com/document/setting-up-taxes-in-woocommerce/) using WooCommerce Built-In Tax Tables, OR
   * An [automated third-party tax calculation plugin](https://woocommerce.com/document/woocommerce-shipping-and-tax/woocommerce-tax/).
2. **After Purchase**: TaxCloud captures the completed order and recalculates the sales tax based on your TaxCloud account configuration, the order data, and TaxCloud's rate engine.

   **Understanding Tax Recalculation**
   TaxCloud recalculates tax amounts for compliance, which may differ from what WooCommerce charged if rates are outdated or your configurations in TaxCloud are incomplete. For best results, ensure both your WooCommerce tax settings and TaxCloud account configuration are complete and accurate before processing orders.

   **You are responsible for:**
   * Maintaining accurate WooCommerce tax rates
   * Configuring your TaxCloud account and settings correctly 
   * Reconciling differences and remitting based on TaxCloud's calculations

3. **For Reporting & Filing**: TaxCloud uses the captured order data for your sales tax reports and filings.

## Technical Details

* Available on Free, Starter, and Premium TaxCloud plans
* Corresponds to "Data Import" status in the WooCommerce plugin
* Sales tax calculations are not performed by TaxCloud; WooCommerce calculates tax using your configured rate tables or an installed tax plugin.
* Transactions are captured in TaxCloud when orders are created in WooCommerce

# Switching Between Modes

You can change integration modes if your business needs evolve. If you need to change your integration configuration, you must update settings in both TaxCloud and your WooCommerce store.

## Step-by-Step Instructions


1. **Update TaxCloud Settings**:
   * Log in to TaxCloud and open your existing WooCommerce integration settings.
   * Locate the **Mode** selector.
   * Switch the selection (e.g., from **Data Import** to **Real Time**).
   * Click **Save**.
2. **Confirm the Mode Change in WooCommerce:**

   The integration mode should update automatically in your WooCommerce plugin. To verify:

   
   1. Log in to your WordPress/WooCommerce admin panel
   2. Navigate to **Settings** → **TaxCloud**
   3. Check the **Integration Mode** status field:
      * **Real Time** indicates Real-Time mode is active
      * **Data Import** indicates Data Import mode is active

   **If the status hasn't updated**: Click the **Refresh** button next to the status field to manually trigger the sync.

# Troubleshooting Tips

* **Mismatching Modes**: If the mode in WooCommerce says "Data Import" while TaxCloud says "Real Time," ensure you have clicked the **Refresh** button in the plugin settings to pull the latest configuration.
* **Premium Requirements**: Ensure your account plan supports the mode you are switching to (e.g., Real Time typically requires a Premium account with TaxCloud).
