Setting up NetSuite Legacy Tax
The NetSuite Legacy Tax SuiteApp, by Nova Module, connects TaxCloud to NetSuite's Legacy Tax engine. It calculates sales tax in real time on your NetSuite transactions and sends completed sales to TaxCloud for reporting and filing.
Nova Module, a NetSuite SDN partner, built the SuiteApp and installs it in your NetSuite account. This article covers what the integration does and the part you set up in TaxCloud. For everything inside NetSuite, see Nova Module's guides.
How the integration works
Once the SuiteApp is set up, your team keeps working in NetSuite as usual. Here's what each record does in TaxCloud:
| In NetSuite | What happens in TaxCloud |
|---|---|
| Sales Order | Tax is calculated in real time. Nothing is recorded for filing yet. |
| Invoice or Cash Sale | Tax is calculated, and saving the transaction records the sale for reporting and filing. |
| Cash Refund or Credit Memo | The refund is recorded and reduces your tax liability. |
| Customer record | Shipping addresses are verified, and exemption certificates are created and applied to the customer's transactions. |
TaxCloud then tracks your nexus and handles registrations, filing, and remittance.
Before you begin
- NetSuite Legacy Tax: The SuiteApp works with NetSuite's Legacy Tax engine. It doesn't support SuiteTax.
- TaxCloud Premium plan: The integration requires a Premium plan.
- Nova Module onboarding: Nova Module installs and configures the SuiteApp as part of a required onboarding package. You can't install it yourself. Contact TaxCloud Sales to get started; your onboarding team coordinates the handoff to Nova Module.
Step 1: Create the connection in TaxCloud
-
In TaxCloud, go to the Integrations page.
-
Click Add Connection, then select NetSuite Legacy Tax.
-
In the top-right corner, click Add.
-
Configure the connection:
- Set a Name for the connection.
- Set the URL for your NetSuite account.
- Set the default Taxability Information Code (TIC). TaxCloud uses this TIC for any item that doesn't have its own. Read more about TICs.
-
Click Finish Setup.
-
On the connection's page, note the Connection ID. The Manage API Keys button you need in Step 2 is in the same section.
Step 2: Create an API key
The SuiteApp needs an API key along with the Connection ID.
- On the connection's page, click Manage API Keys.
- Create a new API key and copy it. Store it somewhere secure.
Step 3: Nova Module installs and configures the SuiteApp
Nova Module installs the SuiteApp and connects it to TaxCloud using your Connection ID and API key. They then set up the rest of the integration with you: shipping method mappings, TICs on your NetSuite items, and exempt customers.
Step 4: Test the integration
Before going live, test the integration with Nova Module, ideally in a NetSuite sandbox. Your onboarding team and Nova Module will work out the right test setup with you.
- Testing in a sandbox: Create a separate TaxCloud connection for it (repeat Steps 1 and 2) and leave it in Test mode. Test transactions aren't counted toward your tax obligations.
- What to test: Your real scenarios, such as your customers, items, shipping methods, an exempt customer, and a refund. Check the results on the TaxCloud Transactions page.
Step 5: Go live
-
When testing is complete, Nova Module points the SuiteApp in production NetSuite at your production connection.
-
Open your production connection in TaxCloud and click Go Live. Until you do, transactions from that connection aren't included in your reporting and filing.
-
Review your first few production transactions on the Transactions page to confirm tax looks right.
