# Keeping your TaxCloud and Shopify collection states in sync

Your sales tax collection footprint isn't static. As your business grows, you'll cross new nexus thresholds, register in new states, deregister from others, or change your business structure. Whenever that happens, both TaxCloud and Shopify need to reflect the change — and stay in sync with each other. Every state enabled for collection in TaxCloud must also be enabled in Shopify, and vice versa.

When the lists do not match, you either collect tax at checkout that you can't remit because you did not turn on collection in TaxCloud, or you under-collect and have to cover the difference yourself because you did not turn on collection in Shopify.

This article covers how to align your collection footprint across both platforms, whether you're setting up the integration for the first time or maintaining it over time.

## Reconciling your collection footprint

Use this section when you're aligning your two state lists either at first-time setup or any time you suspect they may have drifted.

### Step 1: Pull both lists

* In TaxCloud, open your [threshold page](https://app.taxcloud.com/go/thresholds) and note every state where you're set up to collect.
* In Shopify, go to **[Settings > Taxes and duties > United States](https://help.shopify.com/en/manual/taxes/us/us-tax-manage#manage-the-regions-in-which-youre-registered)** and note every state currently enabled for collection.

### Step 2: Compare side-by-side

You're looking for three buckets:

* **Enabled in both** — no action needed.
* **Enabled in TaxCloud only** — needs a decision (see below).
* **Enabled in Shopify only** — needs a decision (see below).

### Step 3: Decide for each mismatch

If you have been using both TaxCloud and Shopify independently before connecting them, the platform you have used longer is typically the more accurate starting point, but do not assume it is right. Treat every mismatch as a real decision.

### Step 4: Make the changes and verify

Once you have decided on each mismatch, apply the changes in both platforms. Then pull both lists again and confirm they match exactly before going live or resuming normal operations.

## Updating your footprint over time

Your collection footprint will change. When it does, update both TaxCloud and Shopify together — not one and then the other later.

Four common triggers and what to do for each:

* **You decided to start collecting in a new state -** Whether you crossed an economic nexus threshold, which you can track from TaxCloud's [Thresholds page](https://app.taxcloud.com/go/thresholds) or registered voluntarily, the moment you turn on collection in TaxCloud you must also enable it in Shopify. 
* **You deregistered from a state -** Disable collection in TaxCloud and Shopify. Do not disable in one and leave the other. The window of mismatch will affect any orders that come through during it.
* **You added a physical location that creates new nexus -** If you want to collect sales tax or are required to do so in this new location: register, enable collection in TaxCloud, and enable in Shopify as well.
* **Your business structure or sales channels changed -** A change to your legal entity or where you sell from can affect your nexus. Review your full collection footprint and reconcile both platforms. If you're not sure how the change affects your nexus, please contact your tax professional.

**Tip:** We recommend reviewing both state lists side-by-side at least once per quarter, even if nothing is obviously changed. Small drift is easier to catch early than after a filing period.

## When to involve TaxCloud support

Contact [TaxCloud support](https://support.taxcloud.com/en-us/articles/how-to-contact-taxcloud-2kOI9DHHRK) before making changes if:

* You are reconciling at setup and are not sure which platform's list is correct.
* You are not sure whether you have nexus in a state that is currently enabled (or should be).
* Your business has changed in a way that might affect your nexus, and you want a second look before you update either platform.
* You have already gone live with a mismatch and need help resolving it.
