How to Upload Historical Transactions via CSV

The historical order upload feature allows TaxCloud merchants to upload past transactions (orders that occurred before an account or store went live) using a CSV file. This feature streamlines transaction management by eliminating the need for engineering support, ensuring a smooth and efficient upload process.

For example, if a merchant joins TaxCloud in the middle of the month and wants to go live with an integration mid month on February 9th, they would need to use the following process to upload transactions for filing from before the integration went live. To ensure all taxes for February are properly filed:

The merchant uploads all transactions prior to February 9th using a CSV file.
The ExcludeFromFiling column is set to FALSE for these transactions.
TaxCloud processes and files the applicable taxes for February.

Steps

Follow these steps to upload historical transactions:

Step 1: Access your account

Step 2: Navigate to the CSV Uploader

Select the Transactions tab, and then Uploads (https://app.taxcloud.com/go/transactions/upload). Select 'Upload a CSV file' in the top right corner.

Step 3: Prepare the CSV File

Ensure that your CSV file meets the required format and includes all necessary columns. A key column to note is ExcludeFromFiling.

Details on the ExcludeFromFiling Column

This column determines whether a transaction should be included in tax filings:

FALSE: The transaction will be included in filing and handled by TaxCloud.
TRUE: The transaction will not be included in filing. Use this for:
- Marketplace transactions
- Transactions already filed by another party (e.g., the merchant or a third-party service)

Step 4: Upload the CSV File

Click the Upload button within the CSV uploader tool.

Next Steps

This process ensures that all necessary historical transactions are included while avoiding duplicate filings. TaxCloud's team will not rerun reports or file taxes on any transactions uploaded for filing that fall outside of the current month's transactions.
